Policies

These policies help us keep learning and testing calm, fair and welcoming for everyone.

Test Centre Policy

We’re glad you’re testing with us. Here’s what to expect on test day.

 

  • Please arrive 15 minutes early for check-in

  • Bring government-issued photo ID

  • If you arrive late, you may need to rebook

 

Testing takes place during scheduled office hours.

 

Our staff are happy to help with:

 

  • Check-in

  • Test set-up

  • Basic testing instructions

 

We’re not able to provide tutoring, coaching, or extra help during a test.

 

Phones and personal belongings must be stored during testing. We’ll let you know what materials are allowed.

 

Please be respectful of staff and other test-takers. If someone is very upset or disruptive, we may need to pause or end the session.

Tutoring & Learning Support Policy

We’re here to support adult learners within clear and fair limits.

 

  • Tutoring is offered during office hours

  • Each learner is limited to a set number of tutoring hours

  • Tutoring may be with different instructors, depending on availability

 

We sometimes share staff contact numbers for scheduling or learning support. Messages are not monitored at all times. Staff will respond during business hours or work hours, as needed.

 

Staff are not available on demand, in personal settings, or outside their work hours.

 

We focus on building skills and independence. Emotional support, counselling, or crisis support are outside the scope of our services.

Booking & Cancellation Policy

Please book sessions and tests in advance.

 

Learning & Tutoring Sessions

 

  • If you need to cancel or reschedule, please give notice when possible

  • Same-day changes may not be available

  • Missed appointments may need to be rebooked

 

CAEC Testing

 

  • Cancellations made before the test day are refundable, minus a $5 processing fee

  • No-shows on the test day are non-refundable

  • If you cannot attend, please cancel as early as possible so the spot can be offered to another learner

 

These policies help us keep schedules fair and testing days running smoothly.

Accessibility & Accomodations

We want testing and learning to be accessible.

  • If you need accomodations, please let us know ahead of time. 

  • This allows us to plan properly and support you well. 

​

Requests made on the day of testing may not be possible to accomodate.

Privacy

Vision Learning Centre is committed to protecting the privacy of personal information in accordance with Alberta’s Personal Information Protection Act (PIPA).

 

 

Collection of Personal Information

 

We collect personal information only as reasonably required to provide learning, tutoring, and testing services. This may include your name, contact information, date of birth, identification details, and learning or testing records.

 

Personal information is collected directly from you, or with your consent, for specific and legitimate purposes related to our services.

 

 

Use of Personal Information

 

Personal information is used for the following purposes:

 

  • Registration and scheduling for learning and testing services

  • Identity verification for testing requirements

  • Communication related to appointments, testing, or services

  • Administrative, reporting, or regulatory requirements

 

Personal information is not used for purposes beyond those identified, unless permitted or required by law.

 

 

Disclosure of Personal Information

 

Personal information is not disclosed to third parties without consent, except where:

 

  • Required by testing or credentialing providers (such as CAEC/Vretta)

  • Required by law, court order, or regulatory authority

 

 

Storage and Safeguards

 

Vision Learning Centre takes reasonable steps to protect personal information against unauthorized access, use, disclosure, or loss. Information is stored securely and accessed only by authorized staff for legitimate purposes.

 

 

Retention of Information

 

Personal information is retained only for as long as necessary to fulfill the identified purposes, comply with reporting requirements, or meet legal obligations.

 

 

Access and Correction

 

Individuals may request access to their personal information or request corrections if information is inaccurate or incomplete. Requests may be made by contacting our office.
